From mid-October, the year-end diary starts to fill up. Office parties, class celebrations, Christmas get-togethers and family dinners all arrive within a few weeks of each other, and dessert is often the item left until the last minute.
This guide is a timeline and checklist: what to decide, and roughly when. If you want customised cupcakes Singapore hosts can order for a party, working through these questions first makes the enquiry quick and clear.
Start with the headcount and the format
Before anything else, settle roughly how many people will be there. Cupcakes are made to order in sets of 6, 8, 12 or 25, so a rough headcount tells you which sets to combine. For example, a team of 20 might take a set of 12 and a set of 8, or one set of 25 if you would like a few spare.
It helps to ask yourself a few practical questions:
- Is this the only dessert? If there is a full buffet or a cake as well, you may need fewer cupcakes than if they are the main sweet item.
- Will guests eat standing up? Cupcakes suit mingling because they need no plates or cutting.
- Are children coming? Smaller portions are often easier for little hands.
Regular, mini or jumbo
Cupcakes come in regular, mini and jumbo sizes. Regular is the usual choice for a party table. Minis work well when guests will also be eating a lot of other food, or when you want people to try more than one flavour. Our page on mini cupcakes in Singapore shows what they look like. Jumbo cupcakes suit a single showpiece or a gift for one person rather than a crowd.
If you are unsure, mention your guest list and the type of event when you enquire, and ask what size would suit.
Choose flavours for a mixed crowd
The flavours available are vanilla, coffee and red velvet. That is a short list, which makes the decision easier.
- Vanilla is the safe, familiar choice that most people, including children, will happily eat.
- Coffee suits an office crowd and adults who like something less sweet.
- Red velvet is a good option when you want a colourful, slightly more special cupcake.
For a mixed group, many hosts like to offer more than one flavour. Ask whether flavours can be mixed within one set, or whether you should order separate sets. If you are ordering several sets anyway, assigning a flavour to each set is a simple way to give people a choice.
Decide the design
Design is where customised cupcakes become part of the party rather than just something to eat. It is also the part that benefits most from a little thinking time, so do not leave it to the final days.
Festive themes
If your gathering is Christmas-focused, have a look at the Christmas themed cupcakes page for ideas. Think about whether you want an obviously festive look or something more subtle, such as simple seasonal colours that work for a general year-end party.
Company colours and wording
For a work event, you might want colours that match your brand, a short message such as "Thank you 2026" or a team name. Keep wording short so it stays readable on a small cupcake. Tell the bakery early if you need specific colours, and send any reference pictures you have.
Character designs
For a children's party or a family event, character designs from Disney, Marvel, Sanrio and other themes are available. If a particular character matters to the birthday child or the guest of honour, say so in your first message.
Settle dietary questions early
This is the point most often forgotten, and the one that matters most to guests. Please share the following with everyone on your guest list before you order:
- The cupcakes contain egg and dairy, so they are not suitable for guests who avoid either.
- They are not halal certified. They contain no pork, lard or alcohol, but because there is no certification, each guest should decide for themselves whether that is acceptable.
If you know of allergies or dietary needs among your guests, mention them when you enquire and ask what can and cannot be done. It is far better to find out in October than on the morning of the party. For a mixed office, you may also want to have a separate dessert on hand for anyone who cannot eat the cupcakes.
A working timeline
Every event is different, but this sequence keeps things manageable. The only fixed rule is that the bakery needs at least 3 days' notice. Anything earlier than that is general planning advice, and in a busy season it is simply sensible to order sooner rather than later.
- Four to six weeks before: Confirm the date, time, venue and rough headcount. Check with the organiser or your guests about dietary needs.
- Three to four weeks before: Decide the size and number of sets, then choose flavours. Start collecting design ideas, colours and any wording.
- Two to three weeks before: Send your enquiry with the date, headcount, flavours, design ideas and whether you want delivery or collection. This leaves time for questions and changes.
- One week before: Confirm the final headcount and design details. Check that the person receiving the cupcakes will be present at the venue.
- Three days before: This is the minimum notice. If you are ordering this late, keep the design simple and reply promptly to any questions.
- The day before: Check the delivery address, the contact number for the recipient and the arrival time. Plan where the cupcakes will sit on the day, away from direct sun and heat.
- On the day: Receive or collect the cupcakes, keep them somewhere cool and indoors, and put them out shortly before serving.
If you are planning a gathering for the last two weeks of December, treat the timeline above as a reason to order earlier in the month. It is a general habit rather than a rule, but it leaves you more room if plans change.
Delivery or collection
There are two ways to get your order:
- Delivery: Same-day delivery is by Grab Express. This works well for offices and venues where you cannot leave to collect.
- Self collection: You can collect in the Ang Mo Kio / Thomson area, which suits people living nearby or passing through.
Read the delivery and ordering information before you decide, and confirm the details for your address when you send your enquiry.
A few practical tips for the receiving end: give a contact number that will be answered on the day, include the full address with unit number and any building access instructions, and make sure someone is there to take the box. If you collect, bring a flat container or travel carefully in a car, as cupcakes do not like being tilted or squashed.
A short checklist to copy into your enquiry
Sending everything in one message saves back and forth. You can copy this list and fill it in:
- Event date and time
- Approximate number of guests
- Size: regular, mini or jumbo
- Sets wanted: 6, 8, 12 or 25
- Flavours: vanilla, coffee, red velvet
- Design, colours, character or wording
- Dietary notes among your guests
- Delivery address, or self collection
- Contact name and number for the day
Send an enquiry for your year-end party
If your party is coming up, you do not need to have every detail ready. A date, a rough headcount and a few ideas are enough to start. You can send an enquiry through the contact page, or WhatsApp or call +65 8175 7488. We are open Monday to Sunday, 8am to 8pm.
Remember that at least 3 days' notice is needed, and the earlier you ask, the more time there is to get the design right.
